Position Purpose Statement:
Assist
in the daily duties of operating an effective office, from incoming
communications through departmental support. Position is first line of contact
for incoming calls. Position supports the Controller and is contingency backup
for that position. Direct support to the President, General Manager, Operations
Manager and Department Heads.
Principal Accountabilities:
Manage
phone/fax/emails, reconcile daily goods sold, produce ingredient inventory,
maintain supplies, update records/manuals/lists as required. Proficient use of:
computer software, particularly Microsoft Excel and other MS Office
applications, communication tools and typing.

Requirements:
Must
be 18 years old, HS Diploma, 4 years previous experience, proven skills with MS
Office Pro, especially with Excel Spreadsheets.
Position

Relationship:
Position
reports to the Office Manager, in his/her absence, the General Manager, then
President. Manage
phone/fax/mail/emails, reconciles daily goods sold, produce ingredient
inventory, and maintain office and first aid supplies, update
records/manuals/lists as required. Proficient
use of communication tools, typing, 10-key and computer software, particularly
Microsoft Office Professional.
Principal
Accountabilities:
Communications:
A. Coordinate
to and from staff personnel.
B. Maintain
and update personnel phone list.
C. Maintain
and update priority phone list.
D. Pick-ups,
label and distribute daily mail.
E. Prepare
out-going mail.
F. Maintain
communication in and coordinate activity with other departments.
G.
Recommend
as necessary improvements to the internal communication tools.
(Telephone system, paging system,
in-house network, internet connections, etc.)
Office
Activity:
A.
Calculate
daily bun order
B.
Reconcile
daily bun order with production and Golden State Foods.
C.
Record and reconcile all ingredient purchases.
D.
Enter all ingredient invoices into accounts payable accounting software
(Peachtree).
E.
Prepare period end finished goods inventory.
F.
Archive documents.
G.
Update “Black Book”, H.A.C.C.P., MSDS, and other manuals important to bakery
operation.
H.
Assist staff with written communication, letters, memorandums, notices, etc.
I.
Maintain an adequate inventory of office supplies.
Administrative
Support
A.
Assists
in travel arrangements for guests and staff.
B.
Assist in guest accommodations.
C.
Assist in the arrangements of special events i.e. lunches, dinners, birthday
cakes.
D.
Maintain
PNWB employee communication board.
